Epping Forest Yacht & Country Club Wedding Shuttle

Epping Forest sits on what used to be the Du Pont family estate, with 58 acres along the St. Johns River and the original 1920s mansion as the centerpiece. It’s one of the prettiest wedding venues in Jacksonville. It’s also one of the trickiest to get to without a coordinated shuttle plan, because the Club sits inside a gated community and the gate isn’t designed for a Saturday-night surge of wedding guests trying to talk their way through.

We’ve run this route enough to know what works and what doesn’t. Here’s how a Saturday at Epping Forest plays out.

Why an Epping Forest Wedding Needs a Coordinated Shuttle

The gatehouse is the choke point. It’s staffed by a single attendant who has to check every car against the wedding guest list, and on a Saturday night with a full ceremony, you end up with cars stacked five deep on the access road. Guests get frustrated, the bride hears about it later, and somebody arrives at the porte cochere as the processional is starting.

A coach handles the gate in one check-in. The driver pulls forward, gives the guard the wedding name, and the whole bus rolls through. We pre-arrange the clearance 48 hours out, which means our driver, license plate, and bus number are already on the gatehouse list before the day of. No re-explaining anything to anyone.

Parking on-property is the second issue. The Club typically reserves the lot near the porte cochere for the wedding party and immediate family. Everyone else parks at an overflow area and walks back toward the entrance. A coach drop at the front door turns that walk into a non-issue. Guests step off the bus directly at the lobby.

Where Your Guests Are Actually Coming From

This section matters because the proximity of Epping Forest to downtown Jacksonville changes the math compared to a Ponte Vedra or Amelia Island wedding. Most of the hotel options sit within 15 minutes of the property, which means a single coach can handle a full evening with minimal dead-head time. That keeps the cost down and the schedule clean.

Most Epping Forest weddings we handle pull guests from three areas: Downtown Jacksonville, the Southbank hotel district, and Baymeadows. Those pickup patterns affect routing, travel times, and whether one coach can handle the entire guest list. Here are the hotels we shuttle from most weeks:

  • Hyatt Regency Jacksonville Riverfront: about 12 minutes via I-95 south. The most common single hotel block we see for Epping weddings.
  • Southbank Marriott on the Riverwalk: about 10 minutes. Closer than the Hyatt but smaller capacity, so usually a secondary block.
  • Marriott Jacksonville Downtown: about 13 minutes.
  • Hilton at Mayo Clinic: about 30 minutes when family has Mayo connections.
  • Embassy Suites and Hampton Inn Baymeadows: about 15 minutes for the southside cluster.

One coach almost always handles the downtown block in a single 12-minute loop. The Hyatt and Marriott Downtown are an easy pair. Adding a Southbank pickup means crossing the Acosta Bridge twice, which adds about 8 minutes to the loop. Workable, but worth flagging in the quote.

Picking the Right Bus for the Property

The good news about Epping Forest is the driveway. It accepts a full 56-passenger motorcoach without any of the tight-turn issues that come with venues like the Ribault Club or the Cummer Museum. The porte cochere has a clean turnaround, and the access road is wide enough for two-way traffic with a coach pulled to the side.

That said, vehicle sizing still depends on guest count. Most Epping weddings we handle land between 120 and 220 guests, which puts you in coach or two-coach territory.

  • Under 35 guests: a 35-passenger minibus. Rare for Epping but works for intimate ceremonies.
  • 35 to 110 guests: one 56-passenger motorcoach running two pickup loops.
  • 110 to 220 guests: two coaches sharing the load.
  • Bridal-party getting-ready run: a Sprinter limo for the small inner group.

Building the Saturday Timeline

Riverfront ceremonies at Epping Forest typically start at 5:30 or 6 PM so guests catch the light over the water. The shuttle timeline below assumes a 5:30 ceremony and a 150-guest wedding pulling from a Hyatt block downtown. We use this as a starting point and adjust from there.

A typical Saturday evening wedding follows a predictable transportation schedule. Here’s how we usually structure the shuttle timeline when guests are staying downtown:

  • 3:30 PM: coach stages at the hotel
  • 4:00 PM: first pickup loop
  • 4:40 PM: guests dropped at the porte cochere
  • 5:30 PM: ceremony
  • 10:30 PM: first return run
  • 11:30 PM: final sweep

We build a 20-minute buffer between the bus departure and the ceremony start. Most weeks that’s overkill for a 12-minute drive. The reason we keep the buffer anyway is the Acosta Bridge construction that’s been slowing southbound I-95 at random intervals all year. Our drivers know to bail to Hendricks Avenue as a backup if traffic stacks up on the bridge, but the cushion gives them room to make that call without putting the wedding at risk.

What We’ve Learned About Working With the Gatehouse

The Club’s gatehouse staff are professional, but the people working a Saturday night may not be the people who work weekdays, and there’s a real risk that a substitute attendant won’t have the wedding name on the list. We’ve had it happen twice. Both times, our driver had a confirmation email screenshot on his phone, which got the bus through in under 60 seconds. Without that, you’re calling the wedding planner from the gate while guests sit in their seats.

We send the driver’s name, the license plate, the bus number, and the bride’s last name to the Club’s events team about 48 hours before the wedding. The events team forwards it to the gatehouse. The screenshot is the backup. This is invisible coordination that pays off when it matters.

Amenities That Actually Matter on This Run

Downtown Jacksonville to Epping Forest is only 12 to 15 minutes each way, so the on-board restroom isn’t the deciding factor here. What does matter is the air conditioning, especially in July through September when the humidity at 11 PM is still in the high 70s. A minibus works for groups under 30, but if the temperature has been above 85 all day, lean toward the full coach so the AC keeps up with a full load of dressed-up guests.

The other amenity that gets overlooked: under-bus storage. Welcome bags, the maid of honor’s giant tote of bridal-party gifts, the photographer’s second bag of gear if they’re riding along. All of that goes in the cargo bay. Guests don’t have to carry anything on board. By the time the wedding ends and everyone is tired, they’re not happy about carrying their welcome bag back. The bus handles it.

Costs and What Drives Them

Pricing depends on the vehicle, total hours, and the demand window for the date. For current ranges across coaches, minibuses, party buses, and school buses, see our charter bus prices page. The short drive distance keeps the meter from running, and the hourly minimum (usually 4 or 5 hours) covers stage, drop, and return without dead-head padding. That makes Epping one of the more cost-efficient Jacksonville wedding venues to shuttle.

What pushes the cost higher: peak Saturday demand in March through May and September through November, multi-coach setups for larger guest lists, and stage-on-property requests where the bus sits at the Club instead of releasing between drop and return. Releasing the coach and recalling it for the late pickup is usually more cost-effective than holding the bus through the evening.

Booking Window and What We Need to Quote

Six to twelve months out is standard for Epping Forest. Saturdays in peak season book first. If your date falls in mid-October during the heart of Jacksonville wedding season, you want the coach reserved by April at the latest.

To get an accurate quote, send the ceremony time, the guest count, and the hotel block. If you have a secondary hotel for an out-of-town guest cluster, mention it up front so we can budget the route correctly. We’ll come back with a written quote, usually same day, that includes the route, the coach recommendation, and the gatehouse coordination plan.

If you want us to handle the Sunday brunch shuttle too, mention that when you book. Sunday brunch typically pulls a smaller crowd to a different restaurant, and we can pair a Sprinter van with the Saturday coach on one combined booking. Cleaner than calling two different operators.

The Club provides our driver a guest-list authorization the morning of the event. We send the driver’s name, license plate, bus number, and your wedding name 48 hours ahead so the gatehouse has it on the clipboard. Saturday-night substitute staff sometimes don’t, which is why our driver also carries a confirmation screenshot.

Epping Forest has limited on-property accommodations for wedding parties. Usually the bride and groom plus immediate family. Everyone else stays at a nearby hotel. The Hyatt Regency Riverfront is the most common block.

Yes, easily. Both hotels are within a 12-minute loop of each other downtown. We sequence the stops so the bus arrives at Epping with both groups onboard.

The shuttle plan doesn’t change. The Club’s contingency space is on the same property, and the bus drop and pickup zones stay the same. We keep the buffer in the schedule regardless of weather so a quick room flip doesn’t compress the timeline.

Yes. Sunday brunch usually pulls a smaller crowd to a downtown restaurant. A Sprinter van or 25-passenger minibus handles it. Booking both runs together saves over a separate Sunday quote.
